Administrative Officer, Jamaica

The incumbent will have the principal responsibility to assist with the planning and execution of all administrative functions as it relates to the portfolio of the Vice President of Operations.

Key Responsibilities
• Coordinate and liaise with the Country Managers within the region for the timely submission of documents/reports.
• Assist in conducting research on areas related to New Business Development in the Operations Department.
• Schedule meetings/appointments, set-up telecoms, make reservations and coordinate foreign travel for personnel.
• Track and report on Operating/Maintenance budget performance and assist with the compilation/revision of budgets.

Main responsibilities include:

v

Reports to the Senior Administrative Officer.

v

Acquires quotations from local vendors.

v

Raises purchase orders according to the Recurrent/Capital Estimates.

v

Prepares vouchers, journals and other transactions for payment at the Treasury.

v

Department and records them in the appropriate Vote Books.

v

Photocopies contract vouchers, journals and relative attachments.

v

Files all documents associated with the Accounts Section.

v

Reconciles Vote Books.

v

Prepares return of charges or vouchers for salaries of staff and housing allowance.

v

Dispatches BVI Government cheques and purchases bank drafts to overseas vendors or organisations.

v

Investigates and responds to queries and inquiries as may be assigned; checks all statements for accuracy.

v

Fills requisitions (Stationery, Office Supplies, etc.) for the Office.

v

Prepares and clears Advances and Imprest Warrants.

v

Assists the Summary Court Manager.

v

Makes travel arrangements and prepares travel documents for the Director of Public Prosecutions and other staff.

Requirements:

Bachelor”s Degree

v

At least Five (5) years working experience

v

Computer Literate

v

Good command of the English language and excellent writing skills.

v

Bookkeeping experience or training

v

Confidential and trustworthy; Ability to work with little supervision; Meticulous

Salary:

v

Entry level $28,818 – $32,391 annually, Grade 9 commensurate with qualifications and experience.

Appointment:

Subject to medical fitness; One-year probationary period

Be a confidential administrative officer when managing the Labour Commissioner’s calendar and schedules, arranging appointments, meetings, travel, planning and organising major events, etc.

Responds to public inquiries by providing information and assistance in a courteous manner.

Takes minutes at meetings called by the Labour Commissioner.

Initiates and drafts correspondence on a variety of matters requiring some research on behalf of the Labour Commissioner.

Collects and researches information in order to ensure that the Labour Commissioner is fully briefed on specific matters.

Establishes and maintains an efficient office system, including filing, confidential staff matters, information retrieval and proper file movement records.

Prepares a variety of documents and presentations.

Assists with the Work Permit Exemption Applications.

Drafts assigned Cabinet papers and brief remarks for Labour Commissioner as required.

Requirements:

Bachelor’s degree in Business Administration or other related subject or an Associate Degree with five (5) years experience working as an Personal Assistant

Two (2) rears minimum experience working as a Personal Assistant

Sound knowledge of Government organisations, policies and procedures

Sound interpersonal skills, sound oral and written communication skills

Excellent organising skills

Sound research and reporting skills and knowledge of office equipment

Ability to work mainly unsupervised
